Home Steward Pros ("HSP", "we", "us") looks after homes in the Idaho Falls area. To do that well we keep a record of your home and the work we do on it. This page says plainly what we collect, why we need it, who we share it with, and how you can see or remove it. We keep it short on purpose — if anything here is unclear, write to us and we will explain it.
What we collect
Only what it takes to schedule your service, do the work, and bill you for it:
- Contact details — your name, service address, email address, and phone number.
- Home details — what we find and service at your home: equipment models and filter sizes, the condition of the roof, gutters, windows, and systems, and notes from each visit.
- Photos — our stewards photograph what they inspect and what they finish, so your Home Health Report shows you the work rather than just describing it.
- Service and billing history — your membership, estimates, quotes, invoices, deposits, and payments.
- Payment details — handled by Stripe, our payment processor. Card numbers go straight to Stripe and never touch our servers; we see the last four digits, the card brand, and whether the charge succeeded. Checks are recorded by amount and check number.
- Signatures — when you sign a membership agreement or an estimate, our e-signature provider records your signature, your name, the time you signed, and the document you signed.
- Portal account — if you use the customer portal at app.homestewardpros.com, we keep your login email and the ordinary sign-in records that come with it. We sign you in with a link sent to your email, so there is no password for us to hold.
Why we collect it
- To schedule visits, route your steward, and tell you when we are coming.
- To do the work and show you what we found, with photos and a written report.
- To price work, send estimates, take payment, and keep an accurate account history.
- To answer your questions and honor warranties and callbacks.
- To send service notices, receipts, and — if you ask for them — occasional updates about seasonal services. Every marketing email carries an unsubscribe link; service and billing messages continue as long as you are a customer.
- To keep our own books, meet tax and legal obligations, and improve how we run the business.
Who we share it with
We share your information with the service providers that make the business run, and only what each one needs:
- Payment processor (Stripe) — to charge cards, run memberships, and send card receipts.
- Email delivery — to deliver your reports, receipts, and scheduling notices.
- E-signature provider — to present agreements for signing and store the signed copy.
- Accounting software — QuickBooks Online, when HSP connects it. See the section below.
- Our technology partner — the company that builds and operates the HSP software on our behalf, under contract, for hosting, support, and maintenance.
- Trade partners — when a job calls for a roofer, plumber, electrician, or similar specialist, we give them the details they need to do that job.
- Legal — when the law requires it, or to protect someone's safety or our rights.
We do not sell your personal information, and we do not rent or trade it for advertising.
QuickBooks Online and Intuit
HSP keeps its books in QuickBooks Online, made by Intuit. When we connect our QuickBooks Online company to the HSP software, the two stay in step:
- What we send to Intuit — customer records (name, service address, email, phone), invoices and their line items, estimates, payments and deposits, and credits or refunds. In short: the accounting record of your account.
- Why — so the books match the work. It keeps invoices, payments, and customer balances correct in one place instead of two, which is how you get an accurate statement and how we file accurate taxes.
- What we do not send — visit photos, inspection notes, home condition details, and card numbers stay out of QuickBooks. Card data lives with Stripe, never with us.
- Access tokens — connecting QuickBooks uses Intuit's OAuth flow. Intuit issues us a token; we store it encrypted at rest, use it only to read and write HSP's own accounting records, and never share it with anyone else.
- Disconnecting — HSP can disconnect QuickBooks at any time, from the HSP software or from inside QuickBooks. Disconnecting revokes the token, deletes it on our side, and stops the sync. Records already written into QuickBooks stay in QuickBooks, as accounting records must.
- Once data is in QuickBooks — Intuit's own privacy statement governs it. You can read it at intuit.com/privacy/statement.
How long we keep it
We keep your home's record for as long as you are a customer, because the value of it grows with time — a steward who can see what your water heater looked like three years ago serves you better than one who cannot.
After your membership ends we keep your service history and photos for two years in case you come back or a warranty question comes up, then remove them. Invoices, payments, and signed agreements we keep for seven years, which is what tax and accounting rules ask of us. You can ask us to delete your record sooner, and we will, apart from what those rules require us to keep.
How we protect it
- Everything travels over TLS — your browser to our servers, and our servers to every partner above.
- Our database is encrypted at rest, and access tokens and other secrets are encrypted on top of that.
- Row-level access controls sit in the database itself, so a request can only reach the records it is entitled to.
- Staff access is limited by role: a steward in the field sees the homes on their route, not the company's books.
- Every change to a record is written down — who changed what, and when.
- Card numbers never reach our servers, so there are none for us to lose.
No system is perfect. If a breach ever affects your information, we will tell you and the authorities as the law requires, promptly and in plain language.
Children
Our services are for homeowners, and this site and portal are not directed at anyone under 18. We do not knowingly collect information from children. If you believe a child has given us information, write to us and we will remove it.
Your choices
Your home's record belongs to you as much as to us. Email hello@homestewardpros.com and we will:
- Show you a copy of what we hold about you.
- Correct anything that is wrong.
- Delete your record, apart from what tax and accounting rules require us to keep.
- Stop marketing email — or use the unsubscribe link in any of it.
We answer within 30 days. We may ask you to confirm who you are first, so that nobody else can ask for your record.
Changes to this policy
When we change how we handle information, we update this page and move the effective date at the top. If a change is significant, we will email current customers so you hear it from us rather than finding it here.
